If you have questions about this Policy, contact us at the details above.
1) What this policy covers
This policy explains how we collect and use personal data when you use our website (bestpricevalue.com), including our Double Glazing Cost Calculator, when you email or share your estimate, and when you ask us to get quotes from installer partners. It also covers analytics and recordings used to improve the site, such as Hotjar.
2) The data we collect
a) Data you provide

We do not collect special category data. We do not process credit applications; any finance figures shown are illustrative only.
3) Why we use your data (purposes) and lawful bases
Purpose | Examples | Lawful basis |
---|---|---|
Provide the Calculator and show live guide prices | Render estimates incl. VAT & installation, allow basket and finance illustration | Legitimate interests in operating and improving the site; contract where you request the service |
Email or share your estimate | Send a summary to your email; generate a share link | Consent (you request the email/share) |
Get quotes from partners (when you ask us to) | Pass your enquiry to vetted installers; coordinate next steps | Consent and/or contract (to provide the quote-matching you requested) |

Site analytics, heatmaps, session replays | Google Analytics; Hotjar | Consent via cookie banner (where required) and/or legitimate interests in improving UX |

Legal, compliance & records | Tax/audit logs, handling complaints | Legal obligation; legitimate interests |
4) How we make money & when we share your details
When you use our Calculator, we do not share your personal data with installers.
If you ask us to get quotes, we will share your contact and project details with up to [X] vetted installer partners so they can contact you about your project. We may receive a referral fee or commission from those partners when you proceed. This does not increase the price you pay.
What we share: name, contact details, postcode/area and project information (products, sizes, preferences). We do not share any finance inputs you enter for illustration unless you explicitly ask us to.
Retention for lead matching: we keep lead records for [12] months to manage enquiries and reporting, then minimise or delete them unless the law requires longer.
Marketing: we won’t send our own marketing unless you opt in. Partners are independent controllers for their own processing and should obtain your consent for their marketing.
Plain English: We don’t sell personal data for unrelated marketing. If you request quotes, we share your details with selected partners to fulfil that request and we may be paid a referral fee.
5) Analytics, heatmaps & recordings (Hotjar)
We use Hotjar to help us understand how visitors use our site (e.g. which pages are viewed and where users click). Hotjar records anonymised usage data such as mouse movements, clicks, scrolls and basic device information. We do not record keystrokes and we mask/disable input fields that may contain personal data. Hotjar acts as our data processor.
Opt-out/consent: You can opt-in/out via our cookie banner and your browser’s “Do Not Track” setting.
Data categories: page views, clicks, scroll depth, device/browser type, approximate location (country/region), session duration, heatmaps and replay events.
Retention: session replays and heatmaps are kept for a limited period, typically no longer than 12 months, after which they are automatically deleted.
We also use Google Analytics for aggregated statistics and reCAPTCHA to protect forms from abuse. See our Cookies Policy for cookie names and lifetimes.
6) Share links & emailed summaries
If you email yourself a summary or create a share link:
The email is sent to the address you provide along with the estimate snapshot.
The share link is a public URL containing your estimate snapshot; treat it like a file you can share with others.
Share links are retained for up to 12 months (or until deleted) and may be purged sooner for security or storage reasons.
7) Who we share data with (processors & recipients)
We use trusted providers to run our service. They act as processors under our instructions unless noted as independent controllers.
Website & hosting/CDN: [Hosting/CDN Provider] (infrastructure, security, backups).
Email delivery: [Email service / SMTP provider] (transactional emails of summaries/updates).
Analytics: Google Analytics (statistics), Hotjar (UX analysis).
Consent management: Complianz (cookie banner & records).
Security: Google reCAPTCHA (form abuse prevention).
Sheets and CRM: (lead routing & pipeline).
Installer partners (independent controllers): only if you ask us to get quotes; they use your details to respond to your enquiry.
We only disclose data to authorities if required by law.
8) International transfers
Some processors may store data outside the UK/EEA. Where this occurs, we rely on adequacy regulations (e.g. EU/UK adequacy for certain countries) or appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) or Standard Contractual Clauses (SCCs) plus additional measures as needed.
9) How long we keep your data
We keep personal data only as long as necessary for the purposes set out above:

We may retain minimal suppression records (e.g. “do not contact”) to honour your preferences.
10) Your rights (UK GDPR)
You have the right to access, rectify, erase, restrict or object to processing of your personal data, and to data portability. Where we rely on consent, you can withdraw it at any time (this won’t affect processing already carried out).

13) Cookies & similar technologies
We use cookies and similar technologies for essential site features, analytics, security and to remember your preferences. Full details (including Hotjar and Google Analytics cookie names, purposes and lifetimes) are listed in our Cookies Policy and controlled via our Complianz cookie banner.
